Order Management Coordinator

Rubicon Organics is seeking a detail-oriented and proactive Order Management Coordinator to support day-to-day order execution and customer fulfillment. This role is primarily responsible for sales order entry, allocation, and coordination across Planning, Production, and Logistics, while providing light analytical and planning support as needed.
This is an execution-focused role ideal for someone early in their supply chain career who thrives in a fast-paced environment and enjoys working closely with cross-functional teams.
Key Responsibilities
Order Management (Primary Focus)
- Enter, maintain, and update Sales Orders accurately and on time in the ERP system
- Allocate finished goods inventory to customer orders based on established allocation rules
- Maintain order trackers, allocation files, and shipment status reports
- Communicate new orders, changes, and priorities to Planning, Production, and Logistics teams
- Monitor orders and proactively flag risks to On-Time, In-Full (OTIF) delivery
- Identify, track, and report order shortages and recurring fulfillment issues
- Support batch-level allocations and creation of production or run references as required
Planning & Execution Support (Secondary)
- Support the Planning team with allocation updates based on actual sales orders and inventory availability
- Assist with basic analysis related to inventory, WIP, and order fulfillment performance
- Ensure allocation decisions consider inventory levels, lead times, and operational constraints
- Support reporting related to service levels, order fulfillment, and inventory movement
General
- Maintain high data accuracy across ERP systems and supporting trackers
- Support continuous improvement initiatives related to order management and fulfillment
- Assist with ad hoc requests and cross-functional initiatives as required
Qualifications & Experience
- +1 years of experience in Order Management, Supply Chain, Planning, or Operations Coordination
- Strong Excel skills (intermediate level: filters, pivots, lookups)
- Experience working with ERP systems and transactional data
- Highly organized, detail-oriented, and comfortable managing multiple priorities
- Strong communication skills and ability to work cross-functionally
- Curious, proactive, and eager to learn planning and supply chain concepts
- Experience in cannabis, CPG, food, or regulated industries is an asset but not required

Compensation
$50,000.00 - $55,000.00 per year
