The Payroll & Benefits Specialist is responsible for accurately processing payroll and administering employee benefits for approximately 270 employees, while ensuring compliance with all applicable federal, provincial, and local regulations. As the sole dedicated payroll professional on the team, this role serves as a key resource for employees regarding payroll and benefits-related questions and works closely with people managers, Finance, and external vendors to maintain efficient and compliant operations. This role reports to the Senior Manager, People and is based out of our Delta office.
Responsibilities
- Payroll Processing: Process and submit accurate and timely bi-weekly payroll for all employees, including hourly and salaried staff. Set up appropriate recurring pay elements such as vacation pay, tax deductions, and other taxable benefits.
- Benefits Administration: Manage employee benefits and health insurance, including enrollment, deductions, and claims. Manage benefits enrollments, changes, and terminations in HRIS and vendor systems. Reconcile benefits invoices for Group Insurance. Serve as primary point of contact for employee benefits questions.
- Record Keeping: Maintain accurate and confidential payroll and benefits records in compliance with legal and company policies.
- Compliance: Ensure all payroll and benefits activities adhere to federal, provincial, and local laws and regulations.
- Reporting and Auditing: Generate payroll reports, conduct regular audits of payroll and benefits records, and resolve any discrepancies. Provide assistance to internal and external auditors.
- Employee Support: Act as a point of contact for employees, answering their questions and providing guidance on payroll processes and benefits.
- Leave Management: In coordination with the Senior Manager, People, ensure accurate compliance, record keeping, and pro-active communication with employees and their managers.
- Year-End & Month End: Prepare year-end payroll reports such as taxable benefits and generate accurate T4 documents within the required timeline.
- Onboarding & Orientation: Host weekly/bi-weekly organizational orientation sessions with all incoming employees, both virtual and in-person.
- Assist with process improvements and system enhancements
- Perform other duties as assigned to support an efficient people operations team!
Knowledge & Experience
- Experience: 4+ years of experience managing payroll
- Technical Skills: Proficiency in payroll and benefits software, strong knowledge of Excel (including pivot tables and vlookup), and experience with Humi (HR & Payroll system).
- Regulatory Knowledge: Deep understanding of payroll, tax laws, and benefits legislation at the federal and provincial levels.
- Attention to Detail: High level of accuracy and attention to detail is critical for processing payroll and managing sensitive data.
- Confidentiality: Ability to handle highly confidential information with discretion.
- Communication: Excellent interpersonal and communication skills to interact with employees, the People team, and finance departments.
- Organizational Skills: Strong planning, organization, and time-management skills to meet deadlines.
- Experience: Relevant experience, often with a background in payroll, finance,
- Spanish Language Proficiency: The ability to communicate in Spanish via written and verbal communication is an asset.
- Payroll Compliance Professional (PCP) designation, or designation in progress, is an asset.
